A volunteer to manage our Club support function

SHC needs a few members to help with support functions.  Here, I like to highlight membership, registration, approval and lost passwords.  Due to my travelling patterns, I am unable to access my desktop, thus slowly down the registration, approval and loss passwords process from 1-2 days to sometimes a few months.

The job of managing registration, approvals and lost passwords is straight forward, but it requires a desktop or notebood.  The person has to be patient, and able to communicate with members via emails.

The most important criteria is the person must maintain confidentiality, and cannot release ANY information about another member to any other members, even if the skies turn red or there is an emergency.  This person cannot use the membership information for any purpose, other than for the task itself.

Obviously, the member has to be aware of club happenings and policies. If you can volunteer with this support function and if you have been a member for at least 3 years, please write to me.   I hope you will appreciate that I reserve the right to turn down any application, altho I will inform the applicant accordingly if I do turn down the applicant.

  1. Looks like we have no volunteers to help with our cLub’s support function. Every member likes to see more activities, and more new members; but raising hand to help run the club efficiently is hard to come by.

    What can you do? Have you ever thought how the Club has been running all this while? I hope everybody will do a share, at least as an EO once in the lifetime of your membership.

    Through my personal experience, people generally do not like to be accused for leaking data information.

    Perhaps you can look at automation:
    Your data file containing members information,currently can only be accessd by you.
    Get your IT person to intergrate a CRT device ( card scanner ) to read Data file and output command ( e.g issued new password directly or through email ).
    Copy the whole Data file with all associated programme into a SDdram – 16/32 G capacity should be sufficient. As this Data SD file can only be interact with either your password or a CRT device. Members who lost his/hers password can come to Monthly meeting/or other functions by puting his/hers idenfications to be read by the CRT device., and be issued with a new password. New menbers once register can also be acitivated through this process.

    I regret cannot help much on your programming as I was previously trained on UNIX operation software

  3. Terence, you asked for volunteers and you added, “I reserve the right to turn down any application”. Sorry to say, but WHO on earth would want to volunteer?

    You have stated your criteria in accepting a potential candidate. Perhaps, you already have in mind a person or persons you would like to have. You could then approach him/her/them directly (and confidentially) whom would then choose to be in or out. Tony is right. Data information is private and confidential, and if there is a “leak”, nobody wants to be the prime suspect. “Raising a hand” here has its implication.

    Obviously, the most important data is the password. Indeed, there are applications and software that can handle such a delicate operation – or thankless task. Besides issuing and replacing passwords, you may want a periodic report, telling you who log in several times in one day and who log in one time in several months.

    SilverHairsClub does not keep or ask for private info. We ask for full name, email address and tel number. Even for age, we ask the member if he/she has crossed the 45 mark. That’s about the confidential info. Members who ask me for tel information usually get all kinds of answers as a response.

    Our system is pretty secure; it is well backed up every night without fail, and if we hit into a system problem, we have experts from Canada, France, India and Singapore to help.

    Our database difficulty comes from some members and new members. They seem unable to register. This requires some one to help them. But no one has offered to help this new members.

    When the password is lost or forgotten, it is a simple process to get a temp password. This requires someone to help them, talk with them and guide them through. This is where help is needed; but again no one volunteers to help this group.

    Finally, our system contains lots of email addresses. Many members get irritated if they receive unwanted solicits from fellow members. I am sure you are aware of this happening.

    No system can prevent this. I hope you understand, reference to your concerns.

    At this moment, no one has volunteered.

  5. If is matter of lost password- i..e. member persumed to have logged in before. This member can always creat another email address to re register. NO fuss right !

    Sorry that you have not found a volunteer yet although I wish that I had some time on hand to do a little thing for the club.

    Volunteerism comes from the heart and volunteers don’t ask for anything in return. Hope that you will have a helping hand soon.

  7. Our effort to find a volunteer has not gone to waste. Today, I received a volunteer who has raised hand to help with one of our support functions.

    Thank you very much to this person. Training will be provided and I hope new members who have difficulty in registering their username and password can have someone to help them. This include those who have lost their passwords.
