Managing SilverHairsClub T-shirts

Hi, I need some help with the SilverHairsClub T-shirts.  I have a number of T-shirts to be given out to SHC members who have participated in some of our programs.  However, I have not been able to keep track of the names and sending them out to the right persons and address.  Basically, my travelling makes it difficult for me to keep track of this process.

If you would like to help me manage the club’s T-shirts, I would appreciate it.  Essentially, I would send the stocks to your house, probably 50 – 100 T-shirts of different sizes at a time.  I shall also bring along the brown envelopes, for you to insert in the T-shirts.  You have to keep track of the stocks, and I shall replenish them every few months. 

Preferably, you should live near a post office.  Club shall pay for the postage.  I have a preference for T-shirts to be sent via mail-order, registered.

Key issue is to manage the address, as the address has to be correct, or else they dont reach the individuals.

    I believe many understand your principle as well as your spirit of generosity. You have definitely been a great guy, silently being the sponsor of several of SHCs events. Would suggest: giving them out to the relevant members who would be present in the monthly meetings or other events would definitely help to ease the cost.

    I strongly support what Christina Chan said. We seems to have various programmes on hand, to save labour, cost and time, distribute out at events would be most appropriate.

    I also agreed that all these T-shirts can be distributed during our mthly events. To further improved this, we can also write to those who will get T-shirts from the attendence list to inform you or your representative the size of the T-shirt they want. Of cos, it would be good that we cater a couple of surplus just in case.

  4. Perhaps I can put things in a better perspective.

    Let Jade takes the names from Terence and coordinate the despatch with Mary Tan.

    Terence sends stock of T-shirts directly to Mary Tan’s home. Let Mary Tan packs and despatches the T-shirts as and when Jade gives her the names and addresses.

    This will eliminate duplication of work. It will also greatly reduce the burden of those in-charge having to carry the T-shirts to the meeting and bringing some home when the attendees didnt turn up.

  5. Christina: you have spoken for me. I totally agree that t-shirts can be distributed at SHC events.
    Guest: Terence’s post says t-shirts for members who have participated in some of the programs, not free for all.
    One of it is send in 50 names of Silverhairs that you remember by face.

  6. I am bemused with what seems like a storm in a tee-cup over tee-shirts when the Giver has only a very generous but simple wish to give away free tees.

    Summarising,

    The Giver’s Wish List : (1) that the recipients are SHCians who had participated in the Club’s activities (2) that the tees be sent by registered post to the recipients addresses. The Giver will pay for the postage but he needs a volunteer to administer the giving.

    The Volunteer’s Do List (1) She will receive the tees in bulk from the Giver, check thru the activities for the names of participants, pack the tees into envelopes and send them out.

    Assumptions made : (1) somebody has to furnish the activity participation list and the addresses to the Volunteer, and both info will have to be correct (2) someone will have to help her carry the tees to the post-office as they are likely to be dispatched in bulk, all the more if she doesn’t drive (3) the recipients will be pleased to receive the tees of the correct shirt sizes (4) that the recipients will be pleased to be reached at their residential/personal addresses which they don’t see a need to maintain as private.

    Otherwise, maybe, can tweak the giving a little and give the tees out at future functions after informing the confirmed attendees of this gift and seeking their preferred shirt sizes. The correct number of tees according to the participation list will then be brought to the function. (Those who like to make it into a presentation ceremony will get the chance to take a photograph with the Giver).
